Position Summary

The Events & Communications Administrator will play a central role in planning and executing the Chapter's meetings, educational programs, communications, and member engagement initiatives.

This position combines event management, marketing and communications, organizational coordination, and project support to help advance the Chapter's mission and strategic priorities.

The ideal candidate is an organized, creative, and detail-oriented professional who enjoys managing multiple projects simultaneously. This individual should be comfortable building relationships with member contractors and their employees, industry partners, and vendors while producing high-quality communications and executing exceptional event experiences.

This role offers the opportunity to work closely with leadership on a wide variety of industry initiatives, organizational priorities, events, communications, and stakeholder engagement efforts. As our Chapter continues to grow, there will be opportunities to expand responsibilities based on the chosen candidate's interests and strengths.

Key Responsibilities

Event Planning & Coordination

  • Coordinate the planning and execution of Chapter meetings, educational programs, conferences, networking events, and special initiatives
  • Manage event logistics, registrations, venue coordination, vendor relationships, catering, contracts, and event materials
  • Coordinate speaker communications, attendee communications, sponsorship logistics, and event timelines
  • Provide on-site event support and coordination
  • Maintain inventories of office, meeting, and event supplies

Communications & Marketing

  • Develop and distribute member newsletters, event announcements, educational materials, and organizational communications (print and/or digital)
  • Design marketing materials, flyers, presentations, and promotional pieces
  • Assist with website updates and maintenance to ensure timely and accurate information
  • Manage event registration platforms and attendee communications through Constant Contact and related systems
  • Support social media, digital marketing, and member engagement initiatives
  • Organize and maintain communication lists for members, industry partners, elected officials, educators, and other stakeholder groups

Industry & Partner Engagement

  • Coordinate communications and logistics for collaborative initiatives and partnership programs
  • Support government affairs initiatives through meeting coordination, event logistics, and stakeholder communications
  • Assist with communications to industry partners and affiliated organizations
  • Assist with volunteer coordination, including obtaining required clearances for workforce development and educational programming
  • Attend industry meetings, networking events, conferences, legislative events, panel discussions, and workforce development activities as needed

Organizational & Administrative Support

  • Coordinate executive meetings and assist with scheduling, meeting preparation, and follow-up
  • Prepare meeting materials, agendas, presentations, and organizational documents
  • Maintain digital files, databases, contact records, and organizational resources as part of the Chapter's ongoing digital transformation initiatives
  • Manage ranked list resumes and related applicant records in accordance with organizational procedures
  • Assist with data entry, reporting, and document organization
  • Support special projects and organizational initiatives as assigned

Qualifications

  • Excellent organizational and project management skills with exceptional attention to detail
  • Strong written, verbal, and visual communication skills
  • Experience coordinating events, meetings, or programs
  • Graphic design experience using Canva, Adobe Creative Suite, Microsoft Publisher, or similar platforms is preferred
  • Experience with email marketing and event registration platforms such as Constant Contact or similar systems is preferred
  • Proficiency with Microsoft Office and general office technology platforms
  • Ability to manage multiple priorities while meeting deadlines
  • Ability to exercise professionalism, discretion, and sound judgment when handling sensitive information
  • Strong critical thinking, problem-solving, and organizational skills
  • Ability to obtain federal and/or state child abuse clearances to assist with youth programming events
  • Reliable transportation and ability to attend offsite events in the SWPA area.
  • Preferred 1-3 years experience with associations, nonprofits, event management, communications, marketing, or member services
  • Preferred Bachelors Degree in Communications, Marketing, Public Relations, Business Administration, Nonprofit Management, or a related field. Equivalent professional experience will also be considered.

Work Schedule

· Standard weekday business hours based at the Chapter office in Pittsburgh (South Side)

· Occasional evening, early morning, and off-site meetings, networking events, and educational programs as scheduled in advance

· Limited local travel within the Pittsburgh/Western PA region to support Chapter activities and industry events

Technology & AI
